AZ Affordable Rentals (“we,” “us,” “our”) is a property management company serving the Greater Phoenix area. This policy explains what information we collect from rental applicants, tenants, property owners, and visitors to our website, how we use it, and how we protect it.
Information we collect
From rental applicants
When you apply for a rental through our portal at azaffordablerentals.com/apply, we collect: full legal name, date of birth, the last four digits of your Social Security Number (encrypted at rest), current and prior addresses, contact email and phone number, employment and income information, household size and occupant details, housing voucher program information (if applicable), and any supporting documents you upload (ID, paystubs, voucher paperwork, etc.).
From tenants
Once you become a tenant, we hold lease documents, payment history (rent, fees, deposits), maintenance request history, communications you send through the tenant portal, and notifications you’ve received from us. We also retain the contact info collected during your application throughout your tenancy.
From property owners
For owners whose properties we manage: legal entity name, EIN, bank account details for ACH disbursements (handled through encrypted financial infrastructure), property information, and the financial transactions tied to your portfolio.
From website visitors
We may collect basic technical information (browser type, IP address, pages visited) for security and reliability purposes. We don’t use third-party advertising trackers.
How we use your information
- To review your rental application and verify program eligibility
- To prepare and execute lease documents
- To process rent payments, deposits, and fees
- To coordinate maintenance and repairs on your unit
- To send operational notifications (rent reminders, lease updates, maintenance schedules) by email and SMS
- To prepare statements and tax documents for property owners
- To comply with housing authority requirements (HCV, VASH, AHCCCS, EHV programs)
- To serve legal notices and pursue eviction proceedings when necessary
Text messages (SMS)
When you provide your phone number on a rental application or to our staff during lease signing, you consent to receive operational SMS messages from AZ Affordable Rentals about your application, lease, payments, maintenance, and similar account-related events. Message frequency varies — typically fewer than four per tenant per month, with occasional bursts during lease renewals or maintenance events.
To stop receiving texts, reply STOP to any message. To get help, reply HELP. Message and data rates may apply through your wireless carrier. We do not use phone numbers for marketing.
Who we share information with
- Housing authorities — for vouchered tenants, we share information required to verify eligibility, set up the HAP contract, and complete annual recertification (Section 8 / HCV, VASH, AHCCCS, EHV, etc.)
- Property owners — we share tenant contact information, lease terms, payment history, and maintenance activity with the legal owner of the property you rent
- Tenant screening services — we share applicant information (name, DOB, SSN, address history) with third-party screening providers (e.g. TenantAlert) when evaluating applications
- Payment processors — Stripe processes credit-card and ACH payments; payment card information is handled by Stripe and not stored on our servers
- Mail and SMS providers — Resend (email), Lob (USPS certified mail), and Twilio (SMS) handle delivery of our communications to you
- Courts and attorneys — in the event of an eviction proceeding, information necessary to file the forcible-detainer case
- Law enforcement and regulators — when required by valid legal process (subpoena, court order, or HUD audit)
We do not sell your personal information to anyone, ever.
How long we keep information
Rental application data is retained for at least seven years after submission to support Fair Housing audits. Lease documents, payment records, and tax records are retained for seven years after lease termination per IRS and Arizona records retention requirements. Marketing communications data is deleted when you opt out.
How we protect information
We use industry-standard practices: encrypted database storage, restricted access via row-level security, encrypted-in-transit communications (HTTPS everywhere), and server-side encryption of sensitive fields (Social Security Numbers are encrypted at rest with a key never exposed to the browser). Access is limited to active AZ Affordable Rentals staff with a need to know.
Your rights
- Request a copy of the information we hold about you
- Request correction of inaccurate information
- Request deletion of information we are not required to retain by law
- Opt out of SMS notifications by replying STOP
- Opt out of marketing emails by clicking unsubscribe (operational emails about your lease cannot be opted out of for the duration of your tenancy)

Children’s information
We don’t knowingly collect information from anyone under 18. Applications must be submitted by adults. If you believe a child has submitted information to us, please contact us and we will delete it.
Changes to this policy
We may update this policy from time to time. Material changes will be communicated to active tenants and owners via email. The “Last updated” date at the top of this page reflects the most recent revision.
